For a team that has to deal with a large amount of data day in and out, Google sheets are a boon. And, with tons of critical and confidential data you need to protect Google Sheets.
While there may be times when you would want your teammates to access your Google sheet, you would not want everyone to have access to everything. Let’s say, maybe you want your subordinates to just view the data and not make edits while on the other hand you want your supervisors to be able to make edits.
Game Of Permissions – A General Overview
In a way, assigning access to others in Spreadsheet is a game of permissions. Talking of which, let’s have an overview of what these permissions are all about. You would be using these to protect Google sheets and cells and everything in between.
Can edit – This means that the person will be able to view and edit the given data
Can comment – As the name suggests, the person will just be able to add comments
Can view – Here the person will be able to see the complete data but won’t be able to make any changes
A Google Sheet is not just one sheet. There are times when there is more than 1 sheet in the main sheet. Let’s take the example of the sheet. Here the main sheet “Sample Data” is further divided into “dataset A” and “dataset B”
In the blog, that follows we shall look at ways using with you can protect sheets and cell ranges in Google sheet.
Protect Cell Ranges And Sheets
Using the method mentioned below you can restrict permissions at Range and Sheet level. More specifically, you can choose who can edit and who can view range and sheet.
- Click on the dropdown (inverted triangle) next to the sheet name
2. Click on Protect Sheet. You will see a section opening up on the right hand side by the name Protected sheet & ranges
When Choosing to Assign Permission to Range
This is the way you can lock cells in Google sheets and restrict permissions at the cell level (cell ranges).
- Click on Range
- When you see the cursor blinking In the text box, hold down right click and select the cell ranges that you wish to lock. In my case I have chosen cell ranges ‘dataset A’!A2:C2
- Click OK and then on Set permissions.
- You can choose to just show a warning or
- Restrict people who can edit this range

When Choosing to Assign Permission to Access Sheets
Quite like using above the methods to lock cells in google sheets, you can even control others from accessing the various sub sheets in your main sheet.
Using the methods below you can restrict permissions on a sheet level. Which means if you use the method mentioned below on a sheet only the person you choose will be able to view or edit the sheet.
- Click on Sheet
- (A) Here you will see another dropdown where you can choose from other sheets in the main sheet.
(B) You will also see a checkbox. If you click on this, you can choose to exclude cell ranges or even add your desired cell ranges
- Click on Set permissions and the rest is same as point 3 in “When choosing to assign permission to Range”
Hiding A Sheet
This is not a full proof method of protecting the sheet or to protect cells in Google sheets. But as long as the person/s with whom you have shared the sheet has no idea or will not get a clue of the hidden cell, you are all good to go.
To hide a sheet click on the dropdown next to the sheet name and then click on the hide sheets. You will see that the sheet will no longer be visible.
Note: To get the sheet back click on View > Hidden sheets > select sheet name (Which in this case is test)
